Privacy Policy

This Privacy Policy explains how softwarerror (“softwarerror,” “we,” “us,” or “our”) collects, uses, and shares information when you use Ember (the “Service”).

1. Information We Collect

Account information

Full name, email address, company/workspace name, and a hashed password (we never store your password in plain text).

Content you provide

Opportunities, estimates, job costing data, PDF drawings you upload, and any markers or annotations you place on those drawings.

Usage and session data

Login timestamps and a session cookie used to keep you signed in (see “Cookies” below). We do not use third-party analytics or advertising trackers.

2. How We Use Information

• To provide, maintain, and secure the Service.
• To authenticate you and keep your session active.
• To send account-related email: signup verification codes, password reset links, and invitations to join a workspace.
• To respond to support requests you send us.

We do not sell your personal information, and we do not use Your Content to train AI models.

3. Cookies

The Service uses a single, strictly necessary cookie (access_token) to keep you signed in. It is required for the Service to function and cannot be disabled while remaining logged in. We do not use analytics, advertising, or tracking cookies, so no cookie consent banner is presented.

4. Sharing of Information

We share information only with service providers who help us operate Ember, and only as needed to provide the Service:

• Our email delivery provider, to send verification codes, password resets, and invitations.
• Our hosting and database infrastructure providers, to store and run the Service.

Within a single company workspace, administrators can see and manage information about the users in that same workspace. We do not share your information across separate companies’ workspaces.

5. Data Retention

We retain your account and content for as long as your account is active. Password reset and email verification codes expire automatically shortly after being issued and are not reused.

6. Your Choices

You can request access to, correction of, or deletion of your personal information by contacting us at the address below. If you are part of a company workspace, some requests may need to go through your workspace administrator.

7. Security

We use industry-standard measures to protect your information, including password hashing, encrypted email delivery, and httponly session cookies. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

8. Children’s Privacy

The Service is intended for business use and is not directed at children. We do not knowingly collect personal information from anyone under 16.

9. Changes to This Policy

We may update this Privacy Policy from time to time. If we make material changes, we will update the “Last updated” date above and, where appropriate, notify you directly.
